Quotations
A quotation is a priced offer. Nothing is owed and no stock moves until you turn it into an invoice, so you can quote freely.
Go to Sales → Quotations.
Building a quote
| Field | Notes |
|---|---|
| Customer | Search your customers, or add a new one without leaving the page |
| Source store | Which store the goods would come from — see below |
| Valid until | Optional. The quote is marked expired after this date |
| Line items | Search a product, or add a custom line for something not in your catalogue |
| Notes | Anything the customer should read |
| Payment details | Bank account or mobile money for this quote specifically |
Why a quote asks for a store
Stock is held per store, so the quote records which one it is priced against. That is what lets the invoice take the right units later, and record what they actually cost you.
Payment details
Whatever you put here travels to the invoice raised from this quote, so the customer is invoiced against the same account they were quoted. Leave it blank to use the default from Settings → Invoicing.
Sending it
Save as draft while you are still working. Send emails it to the customer as a PDF and marks it sent.
Turning a quote into an invoice
Convert creates an invoice from the quote — the same lines, the same prices, the same store, the same payment details. The prices are taken from the quote as it stands, not from the product list, so a quote honoured a month later still bills what was agreed.
Approving that invoice is what takes the stock and posts the books. See Invoices.
