Sales on the Mobile App

The counter is not the only place you sell. A customer asks for a quote while you are standing in their shop; an invoice needs approving while you are out. The Sales tab does the whole cycle.

The + button

Everything starts from the floating at the bottom right of the Sales screen. It opens six actions:

Customers

A name is all that is strictly required. Add an email if you want to send documents — without one you can still create the invoice, you just cannot email it, so the app says so on the field rather than letting you find out later. Phone, address, TIN and VAT number are there when you need them.

Quotations and invoices

Both use the same screen, because they differ in very little: a quotation has a validity date, an invoice has a due date.

Pick the customer, pick the store you are selling from, set the date, then add lines. Search your catalogue by name or SKU and the price comes from the product; you can override it per line, and toggle VAT off for an item that is exempt. Totals update as you type.

Why it asks which store

Stock is held per store, and when an invoice is approved the goods have to come off a shelf somewhere. Naming the store is what lets the system take the right items and record what they actually cost you, so your profit on the sale is real rather than estimated.

Numbering

Leave the document number blank and it is allocated on save, following the numbering your business already uses. Or press Generate to see it first. Type your own and it is kept.

What you can do to a document

Open any document and only the actions that make sense for its current state are offered — this is deliberate, so nobody records a payment against a draft that owes nothing.

Approving is what puts an invoice on your books. It recognises the revenue and, for goods, takes the stock. Until then it is a draft that owes nothing and has moved nothing.

Recording a payment

Enter the amount — it pre-fills with the balance, so settling in full is one tap — choose cash, mobile money, bank transfer or card, and add a reference if there is one.

Sending the document

Share invoice downloads the PDF and hands it to your phone's share sheet, so you can send it on WhatsApp, attach it to an email, or choose Save to Files to keep a copy. One gesture covers both sending and saving.

The PDF is produced by the same template the web portal uses, so what a customer receives looks identical whether it came from a phone or a computer.

After payment, share the receipt

Once a payment is recorded, a Share receipt button appears alongside. A receipt is its own document with its own number — not a copy of the invoice — so a customer who has just paid gets proof of payment rather than another bill.

If an invoice was settled in instalments there will be more than one receipt, and the app asks which one you mean, by number and amount.
