Reports

Accounting reports let you check that your books are healthy and trace exactly where any figure came from. You'll find them under Accounting → Reports.

Because Alfasente ERP posts every transaction automatically, these reports are always live — they reflect your business as it stands right now, with no waiting for anything to be closed or refreshed.

Trial Balance

The Trial Balance lists every account with its total debits, total credits, and net balance for a date range you choose.

Its most useful feature is the check at the bottom: a correct set of books will always have total debits equal to total credits. When the Trial Balance balances, it confirms that every transaction was recorded properly. It's the quickest way to get confidence that your books are correct.

Use it to:

  • Get a one-page snapshot of every account for a month, quarter, or year.
  • Confirm your books balance before finalising a period.
  • Spot an account that looks unusually high or low.

Account ledger

Where the Trial Balance is the big picture, the account ledger is the detail. It shows the full history of postings for a single account, in date order.

Pick an account — say, Cash at Bank or Sales Revenue — and you'll see every entry that has hit it, so you can trace exactly what happened and why the balance is what it is. This is the report to open when a figure looks off and you want to follow it back to the source transactions.

How the two work together

A common workflow:

  1. Open the Trial Balance for the period and check it balances.
  2. Notice an account that looks wrong.
  3. Open that account's ledger to see the individual postings behind the total.
  4. If you find a genuine error, correct it with a reversing journal — see Journals.

Cost of goods on invoiced sales

Approving an invoice posts what the goods cost at the same moment it posts the sale, so both land in the same period and gross profit on the Profit & Loss is right without waiting for anything else.

Before this existed, invoiced sales showed revenue with no cost against them. Invoices raised back then were given a cost based on the product's cost price at the time of the fix, so older periods read sensibly too.
